Job description

Our Client, an employee-owned consulting engineering business. A team of more than 700 highly skilled people, in 15 offices across Australia, New Zealand, Singapore, the United Kingdom and Middle East, design and deliver engineering solutions for clients in the Property, Transport, Ports and Marine, Water, Renewables and Defence sectors. 

The Role
As a Front Desk Administrator, you’ll be greeting clients and providing quality administrative support to ensure the smooth running of our operations.
  
Your working day will be varied between front desk duties and providing general office administration support such as:
  • Ensure calls are answered and managed appropriately.
  • Greeting clients, offering refreshments, ensuring meeting rooms are well presented.
  • Management of couriers both incoming and ordering and overseeing other consumable orders.
  • Oversee and coordinate meeting room diaries.
  • Arranging access cards for new employees.
  • Making travel arrangements and setting up business Uber accounts when required.
  • Managing company car bookings and coordinating maintenance of the vehicle.
  • Management of relevant company mailboxes (e.g., info, employment etc.)
  • Working with the People and Culture team to coordinate staff anniversary gifts and events including morning teas and lunches.
  • Booking of training courses and updating training records in the company HR platform. This also includes coordinating attendance and evaluation forms.
  • Maintaining the Perth office’s Events Calendar and booking all Industry events and office functions.
  • Assist staff with expenses submissions and assist with expenses reconciliation for petty cash & corporate credit card.
  • Support to the Project Administration team including:
  • Assistance with the company document control requirements
  • Formatting of company branded documents such as CV’s and Project Precis
  • QA Register requirements
  • Support to the Office Manager which includes assistance with company presentations.
  • Working with the marketing team to coordinate the production of business cards and other marketing materials.
  • Coordinating news posts for the company intranet and management of SharePoint libraries within the intranet.
  
About you
  • You will be a key member of the administration and operational support team and bring:
  • At least 2 to 3 years of experience in a similar role.
  • Excellent organizational and interpersonal skills.
  • Excellent time management and the ability to set and follow priorities.
  • High level of attention to detail.
  • Proficient with Microsoft Office suite.
  • A self-starter with a willingness to work autonomously and as part of a team.
  • Previous experience in the construction, engineering and/or consulting industries advantageous.
