Job description

Our client are a Tier Two Civil Contractor with a turnover of $200 mill, who specialise in Roads, Rail and Aviation Infrastructure. They are currently seeking to appoint a Bid Coordinator experienced in Civil or Built Environment projects.

The Bid Coordinator plays a crucial role in the preparation, coordination, and submission of tenders and Expressions of Interest (EOIs) to ensure alignment with client requirements and organisational objectives. The position requires strong organisational skills, attention to detail, and the ability to manage multiple tasks within strict deadlines.

The role involves collaboration across various teams to ensure high-quality submissions that reflect the company's capabilities and competitive advantage.

Duties and Responsibilities
  • Tender Requirement Analysis: Review and thoroughly understand the requirements outlined in Requests for Tender (RFTs) and Expressions of Interest (EOIs), ensuring all criteria are clearly identified and addressed.
  • Document Preparation: Prepare high-quality commercial and technical responses that meet or exceed tender requirements and contractual obligations.
  • Resource Allocation: Assist the Estimating Manager in assigning tender schedules and associated responsibilities, ensuring efficient resource management.
  • Compliance Monitoring: Assess tender addenda and updates to ensure all changes have been reviewed, understood, and correctly applied.
  • Marketing Collateral Management: Maintain an up-to-date library of marketing materials, including capability statements, project case studies, staff CVs, and other promotional content.
  • Collaboration: Actively participate in brainstorming sessions ("Think Tanks") to contribute to the preparation and development of tender schedules, methodologies, and value propositions.
  • Stakeholder Coordination: Liaise with internal teams, including Estimating, Design, Engineering, and Project Management, to gather and verify required information.
  • Regulatory Compliance: Ensure all methodology statements, programs, and other tender components comply with statutory regulations and tender-specific requirements.
  • Continuous Improvement: Identify opportunities to enhance tender processes and documentation to improve efficiency and success rates.
  • Risk Management: Support the identification and mitigation of risks associated with tender submissions and related activities.
Key Skills and Attributes
  • Proven experience in successful bid/tender preparation with at least 2 years in a similar role within the Civil or Built Environment sectors
  • Strong written and verbal communication skills
  • Excellent organisational and presentation skills, with high attention to detail
  • Team player, adaptable to changing priorities within the business
  • Proofreading skills with a keen eye for accuracy and bid compliance
  • Proficiency in Microsoft and Adobe Suites, in particular InDesign
