Job description

The Company:
We are currently working in partnership with a Tier 3 civil contractor who are based in Western Sydney who are looking for a Bid Coordinator/EA to join their team. Over the past 10 years they have grown from strength to strength increasing their staff size from 5 people to 60.
They work across a variety of sectors including TFNSW, Local Authorities and Tier 1 contractors and project values range from $500K - $20m.

The Role:
This role is a bid writing/360 bid role, you will also be helping with the executive leaders’ diary, travel, email management. 
$90-100k + Super
Bella Vista Location. 

Bid coordination duties: 
  • Supporting management and bid teams by coordinating inputs into proposals / tenders
  • Coordinate the drafting and review process to ensure high-quality outputs
  • Support the team to draft high-quality content that puts the client at the centre of the proposal
  • Manage the collation of tailored CVs, showcasing our team's expertise for each opportunity.
  • Undertake quality reviews, including expert formatting in Word and PowerPoint and Indesign, as well as meticulous proofreading.
  • Assist with general bid administration tasks, including maintaining templates, formatting bid material, maintaining document control, and building an accurate library of information to support the tender process.
  • Take on any other administrative tasks as requested, contributing to the smooth operation of our team.
Executive assistant duties: 
  • Organising the executive’s daily schedule and meetings, including booking meeting rooms as required
  • Making travel arrangements
  • Preparing presentations and reports
  • Managing office documentation and organisation
  • Delegating administrative tasks to other secretarial or admin staff
Qualifications and experience
  • Experience coordinating and drafting competitive bids/tenders and/ or in marketing or business development. 
  • Experience providing executive support, including board paper management experience 
  • Advanced skills in Microsoft Word and PowerPoint. Familiarity with Adobe suite desired (InDesign)
  • Experience in construction or infrastructure projects will be highly regarded.
